HubSpot for Sales · Admin setup

Your reps' first two weeks in HubSpot

Most of what a rep needs, they can do themselves. But a handful of things only you can turn on, and if you don't, your reps quietly get less value with no error to explain why. Here's who does what, then a checklist to work through, plus a ready-to-send email to start your reps on their part.

Who does what

Every switch you flip unlocks something specific for your reps. This is the map; the checklist below is the order to do it in.

You (admin) turn onYour rep can then
Sales Hub seatUse sequences, Notetaker, and calling at all
AI access + data categoriesGet AI email drafts, deal insights, and meeting summaries that know the customer
Meeting recording + NotetakerHave meetings captured and summarized automatically
Imported contacts and dataHave accounts and contacts to work from day one
Shared sequencesEnroll contacts and scale outreach without building from scratch
Shared email templatesSend consistent, on-brand emails in seconds
Custom pipeline + workflowsTrack deals against real stages and get stall alerts
Auto-associationSkip manually linking every call, email, and meeting
Prospecting AgentHave an AI agent work their low-touch prospects automatically
What reps can do without waiting on you: connect their inbox and calendar, install the Sales extension, get the mobile app, build a scheduling link, save their own templates, and book a first meeting. (Importing contacts is usually your job, not theirs.)

Your setup checklist

Work top to bottom. Your progress saves on this device as you check things off. Each item links to the HubSpot doc and straight to the screen.

The three below fail silently: if they're off, the feature just isn't there and your rep has no error to explain why. Do these before your reps log in.

Foundation

The rest of what reps need before they start selling.

Automation

Unlocks scaled outreach and keeps deals moving.

Conversation capture

Recording and Notetaker are covered in Start here. These two round it out.

Advanced

Worth doing once the basics are in.

Hand it off to your reps

You've done your part. This note points each rep at their own checklist: everything they can do themselves, in order, with links. Copy it and send.

Subject: HubSpot is ready to go, you just need to turn it on

Hi [name],

I've turned on everything on my end, so HubSpot is ready for you. To get going, work through this short setup checklist. It walks you through connecting your email and calendar, setting up your meeting link, and getting to your first booked meeting. It should only take a few minutes, and it'll help you book meetings much faster:

Your progress saves as you go, so you can stop and pick back up. If anything looks grayed out or missing, let me know so I can fix it.

Go get that first meeting.
